Zoom Webinar and Large Meeting Licenses

TCNJ IT has a limited number of Zoom Webinar and Large Meeting licenses available to use on an as-needed basis. To request one, please contact the Help Desk by emailing helpdesk@tcnj.edu with the following information: 

  • Whether you are requesting a Webinar or Large Meeting License
  • Date(s) that you will need the licence
  • The name of the account that the license will be assigned to
    • In the event that you are requesting the license on someone's behalf, this means that we need their
      username and not just their full name so we can ensure the license is assigned to the proper account

You will be notified if your request is approved and the dates that the license is scheduled for. The Zoom administrator tries to have the license assigned to the requested account as close to 5 business day prior to the event as possible, but this is based on the availability of the license, and it is then removed the day after the event.

If you requested a Large Meeting License, you may notice no change to your account once the license is assigned, that is because nothing special needs to be done to create a "Large Meeting," simply having the license increases your meeting capacity.

Here are some key differences between a standard Zoom meeting and a Zoom Webinar:

Meeting Webinar
  • High Level of interaction between all participants
  • Primarily 1 or several presenters to large audience
    • Hosts & Panelists are the primary focus
    • Audience interacts with host via Q&A and Polling
    • Attendees can be prevented from chatting with each other
  • Under 300 Participants (A Large Meeting License, as mentioned above, can accommodate up to 1000 participants)
  • Under 500 Participants (TCNJ also has two Webinar Licenses that can accommodate up to 1000 participants that are available upon specific request)
  • Group Discussion
  • Brainstorming
  • Interactive Training
 
  • Speeches
  • Lectures
  • Panel Discussions
  • Replicates the feel of a classroom or conference room
  • Replicates the feel of a lecture hall, theater, or auditorium

Many people are worried about the time frame of having the Webinar License applied and being able to start advertising the event, but there is a simple solution to that concern:

  • Even before your account has the Webinar License assigned, schedule a regular meeting and send out the invite link for that meeting
  • Once you have the Webinar License assigned to your account, you can convert an already scheduled meeting to a Webinar following the instructions in this Zoom Support Article
    • When the instructions ask you to access your account, this does not mean the desktop app installed on your computer, you need to go to tcnj.zoom.us and sign in there
  • The same meeting link you sent out initially will be the same link used for accessing the Webinar
