Installing and Using the Google Gemini Desktop App

Summary

The official Google Gemini desktop app provides instant access to Gemini AI directly from your desktop. Rather than opening a browser tab, you can invoke Gemini over any active application using a quick keyboard shortcut, share active screen context, cross-reference data across Google Workspace (Gmail, Drive, Docs, Calendar), and delegate complex tasks to AI agents.

Section 1: Installing the Gemini Desktop App

Step 1: Download the Official Installer

  1. Open your browser and navigate to the official Gemini Desktop download page

  2. Click Download for Windows or Download for macOS depending on your operating system.

 

Step 2: OS-Specific Installation Instructions

  Option A: Installing on Windows Computers

  1. Run MakeMeAdmin: From the Start search bar, type "MakeMeAdmin" and the app should appear as an option. Run it, then click "Grant Me Administrator Rights".

  2. Locate Setup File: Open your Downloads folder and locateGeminiSetup.exe

  3. Execute Installer: Double-click GeminiSetup.exe to begin installation.

  4. Follow Prompts: Follow the on-screen installation wizard prompts. The setup automatically installs the app and places shortcuts in your Start Menu and System Tray.

  5. Launch Application: Click the Start menu, search for Gemini, and launch the application.

 

Option B: Installing on Mac Computers (macOS)

  1. Open Disk Image: Double-click the downloaded .dmg disk image file.

  2. Copy to Applications: Drag the Gemini app icon into your Mac's Applications folder.

  3. Launch & Eject: Eject the mounted installer image, then launch Gemini from your Applications folder or via Spotlight (Cmd + Space).

  4. Bypass Gatekeeper Warning (First Launch Only):

    • If macOS displays a security prompt ("Gemini can't be opened because Apple cannot check it for malicious software"), open System Settings > Privacy & Security.

    • Scroll down to the Security section and click Open Anyway next to the Gemini application alert.

  5. Grant Accessibility Permissions:

    • Gemini requires Accessibility permissions so that global keyboard shortcuts and active window overlays can function properly.

    • When prompted, navigate to System Settings > Privacy & Security > Accessibility and toggle Gemini to ON.

 

Step 3: Sign In and Complete Initial Setup

  1. Launch the Gemini app on your computer.

  2. Click Sign In and log in with your primary Google Account.

Step 4: Summon Gemini with Keyboard Shortcuts

  1. Windows Shortcut:

    • Press Alt + Space from anywhere on your PC to summon the floating Gemini overlay over your current work.

  2. macOS Shortcuts:

    • Press Option + Space to open the mini chat overlay over active apps.

    • Press Option + Shift + Space to open the full, expanded Gemini chat workspace.

  3. Menu Bar / System Tray:

    • On Windows, click the Gemini icon in the System Tray or Taskbar.

    • On Mac, click the Gemini icon located in the Menu Bar (top right) or Dock.

  4. Customization: Keyboard shortcuts can be customized anytime via Gemini Settings > Shortcuts.

 

Step 5: Share Active Window Context

  1. Open the application or document you want Gemini to analyze (e.g., a PDF, code editor, or web page).

  2. Summon Gemini and click Add files and tools (+ icon), then select Share window.

  3. Select the target window to feed screen context to Gemini.

  4. Ask Gemini questions, request summaries, or generate drafts based on what is visible in that window.

 

Step 6: Connect with Google Workspace Apps

  1. Navigate to Settings > Extensions / Connected Apps in Gemini.

  2. Enable connections to your Google Workspace apps (Gmail, Google Drive, Google Docs, Calendar).

  3. Prompt Gemini to retrieve information directly across your Google cloud services:

    • Example: "Summarize the key takeaways from the document shared in my Gmail this morning".

    • Example: "Cross-reference my Google Calendar meetings with my Drive notes for today".

 

Step 7: Use Autonomous Agents & Creative Workspaces

  1. Gemini Spark (AI Agent): Delegate multi-step research, planning, or complex desktop tasks to Gemini Spark.

  2. Media Generation: Open the full workspace view to generate custom images or direct video creation natively without opening browser extensions.

 

Step 8: Maintain App Background Execution & Updates

  1. Keep the Gemini app running in the background (System Tray on Windows / Menu Bar on macOS) so shortcut keys respond immediately.

  2. When an update is available, click the Restart to update notification banner in the bottom corner of the app.
